RULES AND REGULATIONS FOR STANDS AT THE IRISH SUSTAINABLE BUILDING SHOW:
Allocation of Positions – The allocation of positions for stands rests exclusively with Irish Services Ltd. Their officials will endeavour, as far as possible, to meet any special wishes expressed by an Exhibitor. Irish Services Ltd., shall not be responsible in respect of loss or damage arising from any error in the apportionment of space, or from any encroachment by one Exhibitor on the space apportioned to another. Irish Services Ltd. reserves the right of rejecting an Application for Space, and returning the fees, or otherwise dealing with the application as it deems advisable. Subletting – No Exhibitor will be permitted to sublet or allow to be used by any other person, firm or company, the whole or any portion of the space allotted to him without the consent in writing of Irish Services Ltd. Non-Occupancy of Stands – In the event of any Exhibitor failing to occupy space by the day prior to the Exhibition, Irish Services Ltd., at its discretion, may fill up, or let such space, and the fees shall be forfeited. If it is not possible for Irish Services to fill up or re-let such a space, a notice will be placed on it stating the name of the applicant who booked the site and failed to occupy it. Consigning – All exhibits must be legibly addressed and bear the name of the Exhibitor and stand number. Exhibitors are not to consign their goods to Irish Services Ltd., or any of its officials, as Irish Services Ltd. will not receive them or be responsible for any charges for freight, carriage or delivery. Delivery of Exhibits to Stands – Prior to show: No vehicle will be allowed to enter any of the halls either to deliver or remove goods, unless by permission of Irish Services Ltd., and it will, therefore, be necessary that all exhibits shall be trucked to the Exhibitor’s stands, and Exhibitors are required to provide plant and staff for that purpose. During Show: Vehicles delivering articles to stands will not be allowed to enter the show premises after 10 am. Obstruction of Gangways or Open Spaces – No exhibitor shall at any time obstruct or allow to be obstructed by his goods, or in any other manner, gangways or open spaces. Any article placed in contravention of this regulation will be removed and a fine of €10 per article will be levied on the Exhibitor. Heights of Stands, Signs etc. – Except where otherwise provided, stands and signs shall not exceed 5 metres in height. The company may, on written application, allow a greater height where, in its opinion, this is desirable owing to the nature of the exhibit or the location of the stand. No screen or building of any kind may be placed on the open space in front of stands in the machinery sections excepting by special permission. Erection of Stands, Signs and Notices – All stands must be entirely self-supporting. Nails and screws must not be used in either the floors or the walls of the building. The pasting of notices on any part of the structures or buildings is strictly prohibited. Irish Services Ltd. reserve the right to remove from a stand any sign, bill or poster which is considered objectionable. Signs carrying the Exhibitors’ names and addresses must be strongly constructed and fixed on a rigid frame. Linen signs are not acceptable. No Exhibitor will be permitted to arrange his stand, or to place any sign in such a manner as to obstruct the light, or to inconvenience or disadvantageously affect the display of any other exhibitor. Signs placed on or near the boundary lines of the stands must not carry advertising matter or the name of the standholder on the side facing adjoining standholder’s sites. Exhibitors will be strictly confined to the space allotted. Arranging Stands etc. – Exhibitors should submit well in advance plans for approval to ensure that the design and layout of their stands are in keeping with Irish services general scheme of uniformity. All Standholders must arrange their exhibits on their stands by 11.00 hours on Opening Day. No exhibit will be allowed to enter the premises after 11.00 on that day. Stands must be open daily for inspection by visitors during the exhibition opening hours. All exhibits must, during these hours, be in the charge of a competent representative of the Exhibitor, and must remain uncovered until the close of the Exhibition daily. In the event of any Exhibitor neglecting to open or uncover his stand during such hours as the exhibition is open, Irish Services Ltd. may do so at the Exhibitor’s risk and expense. Cleaning of Stands – Exhibitors are to have their stands swept clean before 10 O`clock on each morning of the Exhibition. Litter off stands must be deposited in the litter-bins provided and not on the avenues which will already have been cleaned by the Company’s staff. Cleaners will be admitted free of charge to the exhibition area by the main entrance from 08.30 hours on giving their names and the names of the stands they are employed to clean on condition that they check out at the gate by which they entered not later than 10.00 hours. All loose cases and other materials used in packing the exhibits must be removed by the exhibitors from the Show grounds as soon as the exhibits have been unpacked, and at latest by 5.00 pm on the day before the Exhibition opens. Excavations, Foundations, Driving of Stakes – To prevent damage to electricity cables, water and drainage services, permission must be obtained for excavations, laying of foundations, sinking of flag poles, driving of stakes, etc. in the open ground. Applications should be accompanied by a plan of the site showing the proposals. At the conclusion of the Exhibition holes and excavations must be made good by the exhibitor, who shall also remove any concrete foundations, sand, and any other material used in the decoration or staging of the exhibition, and restore the site to its original condition by the date specified in Regulation 15. Any exhibitor not complying with these requirements to the satisfaction of the Company will be liable to a fine of €5 in addition to the cost of carrying out the necessary work. Entry of goods of any kind into the exhibition halls shall be confined to those intended for stand displays. Private photographers will be allowed entry into the exhibition halls only on production of the organiserspermission in writing. Exhibitors must provide their own means of conveying goods into and out of the exhibition halls. Removal of Exhibits – Exhibits must not be packed or removed from the Premises until after the termination of the Exhibition, nor must the stands be closed or dismantled before that hour. A fine equivalent to the R.D.S. rental charge per day will be incurred for each implement or exhibit not removed from the Society’s Premises by the last dismantling day. Any stands or exhibits not removed from the premises by the date named may be dismantled and removed by the organisers at the Exhibitor’s expense and risk and these charges will be additional to the fine. Risk and Responsibility – The entire risk and responsibility as regards all exhibits, and all legal liability arising therefrom or caused thereby, must be wholly borne by the Exhibitor, who shall indemnify and keep indemnified Irish Services Ltd. against all losses and claims for injuries or damages to any person or property whatsoever which may arise out of or in consequence of the construction, erection or use of or the occupation of any part of the Exhibition premises or lands by the exhibit machinery or other property of the Exhibitor or any act or omission of the Exhibitor or any employee or agent of the Exhibitor and against all claims, demands, proceedings, damages, costs, charges and expenses whatsoever in respect of or in relation thereto. These obligations shall be provided by means of an insurance policy from an approved insurer for the following amounts; public/products liability €5 Million any one accident, employers liability €12.5 Million. These policies must co-insure Irish Services Ltd. as Exhibition Organisers on a joint insured basis. Irish Services Ltd. will not be responsible for any damage, breakage, theft, or for the loss arising from any source either in transit or during the Exhibition. Accident and Fire – In particular it is a condition of entry that each Exhibitor shall hold Irish Services Ltd., harmless and indemnify it against legal proceedings, arising from any accident or fire caused by his machinery exhibits or other property on the space allotted to him or brought into the Exhibition grounds by him. Insurance – Every exhibitor should take such steps as he may deem necessary, either by insurance or otherwise to protect himself against loss, theft or damage to his exhibits, stand, furniture, fittings, samples or packing-cases arising from fire or any other cause whatsoever and without limiting his responsibilities under Clause 16. Fire Precautions – No Exhibitor may light a fire, gas or oil appliance or stove, or boiler of any description for any purpose whatsoever, unless he has the authority of Irish Services Ltd. to do so. Exhibitors using Fuel, Oil, Petrol and other inflammable material must take special precautions against fires, and in all cases must provide fire extinguishers designed to deal with the risk involved. All materials used in the construction and decoration of stands or offices therein must be non flammable, or be treated to be so. Lighting and Heating – In no circumstances shall petrol, oils (other than lubricants) or naked lights or lamps of any description be used or brought into the Buildings or any part thereof without the written permission of Irish Services Ltd. Petroleum Products and Fuel Oil – Exhibitors must provide power and all they require for exhibiting machinery. Only vendors having written permission from Irish Services Ltd. will be allowed to enter the Exhibition grounds to distribute petrol, fuel oil, lubricants or other petroleum products to the various stands. Exhibitors should ascertain when placing their orders that their suppliers have obtained permission. Orders should be placed on aday-to-daybasis. Exhibitors must conform to the regulations of the Local Authorities in all that relates to the transport, storage and use of petroleum and liquid or solid fuel of all kinds and to the precautions to be adopted against fire. Dangerous, Unwholesome and Unsuitable Exhibits(a) Any exhibits likely to prove dangerous to the public must be securely protected to the satisfaction of Irish Services Ltd. officials, and be in the charge of a competent attendant.\(b) Explosives, detonating or fulminating compounds and all dangerous or harmful substances and products, including primings, fireworks, matches, and similar objects, must not be exhibited but this prohibition does not apply to the exhibition of imitations of any such compounds or substances which contain no inflammable matter.(c) Spirits, Alcohols, Oils, Essences, unwholesome products and corrosive and other like substances and products may only be exhibited provided they are contained in vessels of such nature and such moderate dimensions as will prevent their causing damage, loss or inconvenience to the public or to other exhibitors.(d) Any consent given by Irish Services Ltd. for the exhibition of any article/or for the use of any machinery or apparatus within this regulation may be withdrawn at any time at the discretion of Irish Services without any reason stated, and the decision of Irish Services as to whether any article falls within this regulation and may be exhibited or continue to be exhibited shall be final and binding on the exhibitor of such article. Exhibition of Cinematographic Films – Special permission must be obtained from Irish Services Ltd. for the exhibition of cinematographic films on Exhibitors’ stands, and this permission will only be granted if Irish Services Ltd. are satisfied: (a) that the films to be displayed are in keeping with the business of the Exhibitors; (b) that the films and projecting apparatus are of a type guaranteed to be suitable for general use in any room, without the use of special fireproof enclosure;(c) that the showing of such films will not cause inconvenience either to other standholders or to the public by the blocking of passages, etc. Prohibitions – Bells, whistles and exhibits of every such description will be prohibited from causing annoyance to visitors and exhibitors. Musical instrument performances, sound reproductions, radio and television sets in operation are not permitted, except under special conditions. Only such articles as are specified in the descriptive matter in the catalogue will be permitted to be exhibited on any stand. No display of a political nature will be allowed, nor may literature of a political or religious character be distributed. If it be found that the business upon any stand is of such a nature as to be an inconvenience to other Exhibitors or injurious to the interests of Irish Services Ltd., the stand will be closed without compensation to the Exhibitor, who shall forfeit all fees paid by him to Irish Services Ltd. Competitions – No exhibitor shall conduct a competition, or offer prizes or awards, unless application shallhave been made to, and permission obtained from Irish Services Ltd., in advance. Distribution of Publicity Matter and Advertising Novelties – Exhibitors are not allowed to distribute leaflets etc., anywhere within the exhibition premises, except at their own stands, and they must not for this or any other purpose encroach upon the alleys or open spaces, or do anything which may cause obstruction. The distribution or retailing of Badges, Balloons, Model Aeroplanes and other advertising novelties appealing to children is prohibited. Sales to the Public – The sale of goods by auction, shouting or any other annoying behaviour is forbidden, as is also the distribution of Gift Parcels, the sale of samples or goods at reduced prices, and practices such as distribution of literature or magazines by non-exhibitors. All applications must be made on the distinct understanding that this rule will be enforced and Irish Service Ltd.’s decision in the matter will be final and binding. Unauthorised Acts – Conditions of entry to this Exhibition is that exhibitors only shall be allowed to transact business, and no person will be permitted to solicit money except he or she holds a licence from Irish Services to do so. Assistants and Contractors – All exhibitor’s assistants in charge of exhibits will be subject to the order of Irish Services Ltd.’s officials. It is a condition of issue of each ticket for an assistant of an exhibitor that such exhibitor will be held responsible for the behaviour of his assistants, and for the consequences of any misconduct thereof. Exhibitors employing contractors for the erection or servicing of their stands will be held responsible for the observance of such Contractors of Irish Services Ltd.’s Regulations. Removal of Article by Order of Irish Services Ltd. – Irish Services Ltd. have the power to order any article out of the premises, or to remove it, or to close the stand of any Exhibitor who does not conform to the regulations of Irish Services Ltd. All articles removed by Irish Services Ltd. will be so labelled. Any Exhibitor or his representative again taking such articles without permission will be liable to a fine of €10 and to expulsion from the Exhibition Premises. Fines and Exclusions – All charges and fines shall be recoverable as debts and, until payment, persons owing them will be debarred from exhibiting at future Exhibitions of Irish Services Ltd. Irish Services Ltd. may exclude from the Exhibition grounds any persons, firm or corporate body, who in Irish Services Ltd.’s opinion has infringed the regulations or has been guilty of dishonest or unfair conduct, or behaved in a manner injurious to Irish Services Ltd.’s interests at or in connection with its Exhibition. Termination by the Company of Agreement for Hiring of Space – An agreement with an Exhibitor for the hiring of space by him may be terminated by Irish Services Ltd. without any reasons stated, either before or at any time during the Exhibition. Upon such termination the Exhibitor shall forthwith dismantle and remove his stand and exhibits and, if he fails to do so, Irish Services Ltd. shall be entitled to dismantle and remove such stand and exhibits at the expense of the Exhibitor. An exhibitor whose hiring is so terminated shall be entitled, if the termination occurs before the Exhibition, to the return of the fees payed by him, and if the termination occurs during the Exhibition, to the return of one-fourth of his fees for each day or part of a day after such termination during which the Exhibition continues; and in neither case shall an Exhibitor have any further claim against Irish Services Ltd. Termination by the Exhibitor of Agreement for Hiring of Space – An agreement by an Exhibitor for the hiring of space by him may be terminated by the Exhibitor by giving Irish Services Ltd. THREE months notice in writing of his intention to withdraw from the Exhibition. Irish Services Ltd. shall return to the Exhibitor the monies actually paid without interest, costs or compensation and less 25% of deposit paid for liquidated damages and this agreement shall be at an end. In the event of an Exhibitor not giving the required Notice of intention to withdraw, Irish Services Ltd., shall be entitled to retain all monies paid by the Exhibitor by way of liquidated damages and this agreement shall be at an end. Responsibility – Neither Irish Services Ltd. nor any of its Officers, Officials or Servants shall be in any way responsible or accountable for anything that may happen (from any cause or circumstances whatever) to Exhibitors or their Servants, or to any exhibit or property brought into the Exhibition premises, or for anything else in connection with, or arising out of, or attributable to, Irish Services Ltd.’s Exhibition. Irish Services Ltd. will endeavour to have the catalogue as complete as possible and in accordance with the particulars given on the entry forms; it cannot, however, hold itself responsible for any additions, omissions or mistakes which may occur for any reason whatsoever in the catalogue. If on account of war, mobilisation, strike, lock - out or conflagration, or any other cause over which the organisers have no control, the Exhibition cannot be held at the appointed time or is forced to change its scope or time, the organisers cannot be held liable to refund the stand rentals or part of the stand rentals paid. If an Exhibitor has paid his stand rental, however, this will entitle him to an equivalent space as soon as it is considered possible to put in hand a new arrangement of a similar type. In case of conditions arising over which the organisers have no control, the supply of heating, water, electric current, or compressed air ceases or is curtailed, the Exhibitor does not have the right to claim a refund of any invoices paid in stand rentals or any other form of compensation. General – Irish Services Ltd. reserves to itself the sole and absolute right to interpret these or any other prescribed conditions and regulations, and to settle arbitrarily and determine all or any matters, questions, or differences in regard thereto, or otherwise arising out of or connected with or incidental to the Exhibition. Also to refuse or to cancel any entries, disqualify exhibitors, prohibit exhibition of entries, vary or cancel awards of prizes or reserved numbers, and relax conditions as Irish Services Ltd. may deem expedient; and the decision of Irish Services Ltd. shall be final in all aspects. Completion of application forms for space, and/or participation in the Exhibition shall be regarded as an Exhibitor’s acceptance of these rules and regulations. The infringement of the above rules and regulations can result in the exclusion of an Exhibitor from the Exhibition without having the right to claim compensation or a refund of any monies paid or expenses or claims of damages. No Contract will come into existence until the completed form is received and signed by Irish Services Ltd. and the laws of the Republic of Ireland shall apply accordingly.
